Job Summary: We’re seeking a highly organised Business Support Specialist to ensure smooth daily operations, project coordination, and sales support. You’ll handle administrative tasks, support sales, and coordinate projects with professionalism and efficiency.
Key Responsibilities:
1. Administrative Support:
- Maintain the office environment to ensure a friendly and organised ambience.
- Check and respond to emails, handle phone calls, and greet clients.
- Schedule and plan meetings and appointments for senior management.
- Maintain office systems (both electronic and paper) for effective administration.
- Resolve office-related issues, such as equipment problems.
- Ensure office supplies are stocked and manage inventory levels.
- Set up meeting rooms for client meetings and ensure a professional environment.
- Handle client and supplier inquiries with professionalism and efficiency.
- Enter client and supplier details into the CRM system.
2. Sales Support:
- Create quotes and proposals for potential clients.
- Provide excellent customer service by addressing client inquiries and concerns.
- Conduct client research to support sales strategies.
- Assist in preparing sales presentations and materials.
- Maintain accurate records of sales activities and client interactions in the CRM system.
- Collaborate with the sales team to ensure cohesive sales strategies.
- Generate sales reports and analytics for management review.
3. Project Coordination:
- Manage handover of projects from the sales phase to the project/design phase.
- Coordinate projects in conjunction with Project and Design Teams or Artists.
- Ensure timely delivery of projects by collaborating with various teams.
- Set up projects in current software systems and maintain up-to-date correspondence.
- Create and manage both soft and hard copies of client project folders.
- Liaise with artists and subcontractors to coordinate project tasks.
- Process purchase orders in the financial system.
- Collate material for meetings and attend as necessary.
5. General Duties:
- Perform general office tidy-up, including emptying bins and putting dishes away.
- Water plants and manage office cleanliness and organisation.
- Receive and process incoming goods.
- Maintain friendly and trusted relationships with suppliers, customers, and the Ochre Dawn team.
What you will bring to the role:
- Proven experience in an administration, customer service and/or project delivery
- A quick learner of technology and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM systems.
- Excellent organisational, time management, and problem-solving skills.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Friendly and optimistic attitude, with a high level of professionalism and discretion.
